The Department of Psychiatry and Behavioral Sciences within the UW School of Medicine is the third largest clinical department within the School of Medicine with 330 full-time faculty members, 460 courtesy faculty members, and over 350 staff. Department faculty provide clinical services in 5 hospitals, 14 primary care locations, and several outpatient sites in addition to telepsychiatry consultations to more than 150 clinics in Washington and beyond. As the only academic psychiatry department serving the five state WWAMI region (Washington, Wyoming, Alaska, Montana, Idaho), the Department’s highly competitive residency training program is largely responsible for developing the mental health workforce in the Pacific Northwest. The Department’s robust research portfolio totals $67 million in grants and contracts per year for projects ranging from clinical neurosciences to treatment development to health policy and population health. The Department is recognized as an international leader in developing, testing, and implementing Collaborative Care, an integrated care model increasingly seen as a solution for population-based mental health care. Other areas of excellence include Addictions, Autism, High Risk Youth, Neurosciences, and Trauma, and the Department is developing innovative new programs in Technology and Mental Health, Global Mental Health, Maternal and Child Mental Health, and Targeted Intervention Development. Psychiatry is the third largest department in the School of Medicine and the largest non-divisioned department. The overall annual operations funding from all sources is over $130 million.

The Department of Psychiatry & Behavioral Sciences within the UW School of Medicine currently has an outstanding opportunity for a Faculty Human Resource Coordinator (Human Resource Coordinator (NE S SEIU 925 Non Supv)). This position is hybrid eligible.

Under the direct supervision of the Lead Faculty Human Resources Business Partner, this position will assist with paid and unpaid faculty, academic personnel, and visa appointments in collaboration with the other members of the Faculty HR team.

DUTIES AND RESPONSIBILITIES

Faculty Appointments (80%)

  • Coordinate all aspects of the faculty appointments including gathering faculty documents from incoming faculty, completing faculty appointment packets, and submitting for approvals from School of Medicine (SOM)’s Dean’s Office, Integrated Service Center (ISC), and other departments as necessary.
  • Maintain faculty appointment checklists and update reports as necessary.
  • Assisting with monitoring faculty appointments end dates, including fellowship program appointments.
  • Coordinate renewal of appointments with the Lead HR Business Partner and the Associate Director of HR.
  • Distribute onboarding and orientation materials for new faculty.
  • Maintain accurate faculty files (electronic and hard copy).
  • Assist the Faculty HR team with faculty recruitments, including assistance with posting advertisements.
  • Assist with the annual clinical and affiliate promotions process.
  • Oversee upcoming end dates for faculty and academic personnel including providing offboarding materials.
  • Ensure necessary faculty and academic renewals are initiated in a timely manner.
  • Manage the shared Faculty HR email inbox. Respond to inquiries and route to the appropriate people as needed.
  • Assist with data and document management and related tasks as needed.

    Visa Appointments (10%)

  • Support faculty and academic personnel on visas by coordinating new visa requests and extensions with the Academic Appointments and Compensation office and the International Scholar Operations team.
  • Oversee the end or renewal of appointments related to visas (faculty on visas, visiting scholars, and visiting students). Ensure any necessary renewals are initiated in a timely manner.

    Other (10%)

  • Collaborate with the Psychiatry and Behavioral Science HR team to streamline HR business processes and SOPs.
  • Manage the faculty dashboard in PsycSource, the department’s ticketing system for Faculty/Academic HR requests.
  • Perform related duties as assigned.

    MINIMUM REQUIREMENTS

  • High School diploma or GED certificate AND two years of office/clerical experience including at least six months of experience in a human resources or related setting OR equivalent education/experience.

    DESIRED QUALIFICATIONS

  • Proficient knowledge of other Microsoft Office Products (Word, PowerPoint, Excel, Visio, Outlook, Teams).
  • Proficiency of and experience with UW HR/Payroll Systems (i.e. Workday).
  • Time management multi-tasking, details oriented, and organizational skills.
  • Professional communication style and presentation skills.
