Job Summary

The Department of Restorative Dentistry and Biomaterials Sciences (RBDS) includes biomaterials, endodontics, implant dentistry, operative dentistry, prosthodontics, and implant dentistry. RDBS is the largest of HSDM’s clinical departments and faculty members are responsible for the majority of didactic and clinical instruction in the pre-doctoral curriculum. The department also administers advanced graduate programs in endodontics, implant dentistry, and prosthodontics. Each departmental faculty member is involved in clinical or basic science research, either at HSDM or at an affiliated institution. Full-time department faculty members also treat patients in the Harvard Dental Center. Full- and part-time faculty members supervise both pre- and postdoctoral students in the Teaching Practice.

Position Description

Working under the direct supervision of the Department Administrator, this individual is part of a three-person administrative team in the Department of Restorative Dentistry and Biomaterials Sciences (RDBS), which is comprised Restorative Faculty for the DMD Curriculum and the divisions of Operative Dentistry, Endodontics, Regenerative & Implant Sciences and Prosthodontics. While each individual is assigned specific duties and responsibilities, each is expected to be knowledgeable about the overall functioning of the department so as to be able to temporarily step in for or assist another team member when necessary. The primary component of this position is to provide administrative support to All RDBS activities. The department consists of 24 full time faculty members.
Due to their diverse roles, the level of support and time commitment to each faculty member varies considerably. Support includes but is not limited to: processing payments and reimbursements using on-line financial systems (Concur, corporate & purchasing cards, Web voucher/HCOM, etc.), arranging travel, calendar management, meeting scheduling (including reserving facility and equipment use as needed), course management/scheduling (including but not limited to preparing and/or uploading course materials to Canvas or MyCourses, communications to students, and schedule management), DMD clinical coverage, pre-doctoral curriculum courses, report preparation, correspondence, group/individual communications, CE course prep, and any other projects assigned by the Department Administrator and/or Department Chair.
Other administrative tasks include managing incoming calls, receiving and distributing mail, preparing documents, managing departmental data (paper and electronic), ordering/maintaining supplies, assisting with organization/implementation of department projects and events (including but not limited to commencement, continuing education, seasonal events/programs) and other administrative duties as necessary.

Basic Qualifications

Three or more years of progressively responsible administrative experience; relevant coursework or education beyond high school may count towards experience.

Additional Qualifications and Skills

College background preferred. Must be proficient with MS Office applications (Word, Excel, PowerPoint, Outlook). Strong oral, written, and interpersonal communication skills are essential, as is the willingness to work with a diverse constituency. Must be able to work both independently and as part of a team, and be able to effectively organize own work, attend to details, prioritize tasks, and proactively anticipate what needs to be done. Must possess the capacity and willingness to calmly and competently deal with competing priorities, deadlines, interruptions, frequent changes, and a wide range of personalities. Experience working in an academic setting preferred. Familiarity with Harvard University financial and administrative systems strongly preferred.

Working Conditions

Work Is performed in and office/clinical setting.

The primary work location for this position is Boston, MA and in order to be on Harvard payroll, you must reside in one of the following states – MA, NH, RI, ME, CT, VT, NY, or MD. The Harvard School of Dental Medicine will support flexible work schedules subject to individual departments’ business needs.
