Dr. Tianxi Cai is seeking a strong applicant for the position of Project Coordinator for the Cai Lab and the Big Data Analytics Core to coordinate activities under the Translational Data Science Center for a Learning Health System (CELEHS) and to support multiple ongoing projects including the Artificial Intelligence/Machine Learning Consortium to Advance Health Equity and Researcher Diversity (AIM-AHEAD) Program. This person will work closely with other administrators within the Department and Harvard Medical School as well as with close collaborators with the CELEHS center including the Veteran Affairs and the Brigham and Women’s Hospital. This person will also work closely with researchers, postdoctoral fellows, and graduate students.
The Project Coordinator:
Coordinates daily activities of the projects, which include the following tasks:
-Scheduling meetings with both internal and external collaborators
-Coordinating conference travel and logistics for lab members
-Provides day-to-day operations management, international and domestic event planning, as well as administrative support to Dr. Cai and CELEHS.
-Effectively and accurately communicates relevant project information to the project teams. Assists with the drafting of project proposals, budgets, and preliminary schedules. Helps with project and task assignments.
-Assists with preparing visa paperwork for research fellows coming from abroad. Assists with the hiring process for new openings in the lab and coordinates all onboarding processes including paperwork and ordering computer equipment/peripherals. Plans, organizes and provides administrative and financial support using independent judgment and discretion in planning, prioritizing, and organizing work.
-Independently work with the grants manager in ensuring that lab expenses are used appropriately.
-Acts as an administrative liaison for the projects, CELEHS scientific activities, and Dr. Cai.
-Independently interacts with outside constituencies such as Harvard administrators, faculty, and business partners.
-Schedules and participates in calls and meetings on a regular basis; schedules and conducts calls and phone conferences as needed.
-Keeps Dr. Cai and others informed about project status under the Big Data Analytics Core and issues that may impact progress.
Three year's related administrative and coordination experience is required. Higher education may count towards experience.
Additional Qualifications and Skills
Bachelor's Degree preferred. Experience with Harvard's financial and administrative systems is a plus. Experience handling complex and confidential information with discretion. Ability to work independently on assignments.
Detail-oriented. Interpersonal skills/demonstrated ability to work as a team member. Ability to manage multiple projects and activities in a very busy work environment that is often deadline-driven. Strong written and communication skills. Ability to self-determine priorities.
This is a one-year term role with potential for extension contingent on work performance and continued funding to support the position.
This Staff role may start as a remote position due to the COVID-19 pandemic and while restrictions are still in place. The current remote nature of this role is considered temporary and may change as the University continues to evaluate options. While we continue to monitor the evolving COVID-19 guidelines, local on-campus work may be expected for some roles. Harvard Medical School does support flexible schedules, subject to individual departments’ business needs.
