About the Department

The overarching goal of the Molecular Education, Technology and Research Innovation Center (METRIC) is to offer clients seamless access to qualitative and quantitative analysis for a diverse range of molecules, supporting research across multiple platform technologies and molecular scales. By coordinating three key platform technologies (Mass Spectrometry, NMR spectroscopy and X-ray crystallography), METRIC provides an integrated, measurement science facility that fosters research and collaboration throughout the greater university community.

 METRIC provides researchers access to the following services:

  • Mass spectrometry: small molecule identification and structural analysis, targeted and untargeted metabolomics, proteomics, lipidomics, imaging.

  • NMR spectroscopy: small molecule and macromolecular solution structures, protein-ligand interactions, protein dynamics.

  • X-ray crystallography: small molecule and macromolecular crystal structure determination.

  • Education, training and outreach: METRIC offers training to new users, enhances graduate and undergraduate education through providing formal instruction, organizing educational materials, short courses and workshops to support users, maintaining protocols for routine sample handling, and hosting regular forums for users to interact and share new methods.

Essential Job Duties

The Operations Coordinator oversees day-to-day operations within METRIC, focusing on Financial, Operations, Administration, Customer Services, and other critical needs.

Financial Duties and Responsibilities:
  • Work closely with METRIC/ORI staff to manage financial accounts, plan, and monitor expenditures.
  • Assist in rate calculations, ensuring compliance with state and federal regulations.
  • Initiate and track financial transactions, including marketplace orders, travel reimbursements, vouchers, services order forms, and internal billing.
  • Complete internal billing to ledger accounts on a regular basis, monitor facility usage receipts, and report them as summary tables to METRIC leadership monthly.
  • Generate and send invoices to external clients, monitor receipts, and follow up with aged invoices. Extensive knowledge of METRIC’s lab management system (Mendix) and various university financial systems is required.
  • Aid in billing internal clients, acting as the point of contact for inquiries and liaising with Lab Managers.
  • Assist the Business Officer with financial matters, including purchasing supplies.

Operations:
  • Communicate program information, policies, and procedures, providing customer service to clients.
  • Coordinate maintenance of major instrumentation, ensuring continuity of operations.
  • Serve as the building liaison, addressing facility issues to prevent operational disruptions.
  • Monitor and facilitate the proper recording of safety plans, chemical inventories, and equipment inventories.

Administrative:
  • Track SOPs, service agreements, manuscripts, projects, grants, and educational outcomes, generating reports as needed.
  • Coordinate staff recruitment and onboarding, managing building/room card key access.
  • Assist in planning and implementing symposia, workshops, and outreach activities.
  • Catalog and maintain Standard Operating Procedures (SOPs), workflows, and routine documentation within METRIC.
  • Serve as an administrator for METRIC’s Lab Management system, resolving issues and managing scheduling rules.
  • Provide consultation on deploying the university-wide Mendix lab management system, sharing insights and perspectives.
  • Assist METRIC’s Director and research group with administrative tasks.

Customer Services:
  • Independently create and send monthly newsletters, utilizing technical analytics for optimal delivery times and audience engagement.
  • Be the point of contact for shared facility communications across campus.
  • Manage and troubleshoot METRIC’s lab management program (Mendix), addressing user needs and implementing changes.
  • Provide guidance to METRIC users, assisting with the implementation of a “Get Started” feature on the website.
  • Continuously analyze and solve problems to enhance the user-friendliness of the Mendix platform.

Communication and Marketing:
  • Solicit feedback from METRIC staff on Mendix, newsletters, and best practices.
  • Independently create and implement marketing strategies, demonstrating success in increasing subscribers and followers.
  • Help maintain METRIC’s website, including writing/editing posts and adding events to the calendar.
  • Collaborate with OIT, the WordPress group, multiple PIs, and finance representatives for data analytics, website enhancements, addressing Mendix issues, and financial matters.

Minimum Experience/Education

Bachelor’s degree and one year of experience related to the area of assignment; or equivalent combination of training and experience.
 
All degrees must be received from appropriately accredited institutions.

Other Required Qualifications

  • Must possess exceptional communication skills, including written and verbal, and be highly organized and detail-oriented.
  • Must be able to work independently, use initiative, prioritize tasks, and anticipate potential pressure points in workflows.
  • Ability to develop and maintain productive collaborative work relationships with all clients (internal and external who utilize services) by listening, understanding and responding to apparent and underlying needs and continually seeking to provide the highest quality service to all.
  • Ability to learn contemporary applicable technologies (i.e., software, equipment, processes, etc.) and make recommendations for improved operational processes in support of METRIC’s continued growth.

Preferred Qualifications

  • Experience with laboratory and/or research program management.
  • Working Knowledge of Google Workspace or other collaboration and productivity software.
  • Background in a STEM field helpful but not essential.
