Position Summary/Purpose of Position:

Coordinates and serves as principal advisor for the Department of Art History and Archaeology undergraduate programs, working closely with the Department Chair, Director of Undergraduate Studies, and Director of Finance. Duties include but are not limited to: advising undergraduate students on degree requirements, enrollment and registration policies, course selection, and four-year plans; processing and reconciliation of day-to-day financial transactions; procurement requests to include management of the departmental purchasing and travel cards; coordinating all faculty, staff and guest travel; serve as the primary contact for human resources within the department; and management of administrative and programmatic activities. Coordinates and organizes non-academic events and activities and provides support for new initiatives. Excellence in verbal and written communication skills is required.

Minimum Qualifications:

Education:
  • Bachelor’s degree required; or an equivalent combination of education and experience.

Experience
  • 3 years experience in administrative experience.

Knowledge, Skills, & Abilities:
  • Strong organizational skills and detail oriented.
  • Proficiency in Microsoft Excel.
  • Excellent written and oral communication skills.
  • Demonstrated customer service skills.
  • Initiative and problem-solving skills.
  • Knowledge of Windows and web-based applications.
  • Demonstrated ability to implement and use technology.

Preferences:

Preferences:
  • Bachelor’s degree in related field.
  • Experience working with student affairs, advising, or academic counseling preferred.
  • Working experience in higher education, specifically at UMD, is strongly preferred.
  • Working knowledge of university software tools and/or systems such as PHR, eTerp, KFS, PCMS, Shell Shop, KR, Workday, Zoom, Student award system, SIS, and others.
  • Knowledge of UMD’s procurement policies and procedures.
  • Experience working in higher education.
  • Experience working in a team environment.

Physical Demands

This position is primarily sedentary work with occasional physical exertion to lift or move paper boxes or files weighing up to 15 pounds. Repetitive typing motions are involved. Vocal communication is required for expressing or exchanging ideas. Hearing is required to perceive information. Visual acuity is necessary to perform activities such as: preparing and analyzing data, figures, and presentations, reviewing forms and documents for accuracy and thoroughness, viewing a computer terminal, and observing general surroundings and activities. The worker is not subject to adverse environmental conditions.
