Summary of Position

Reporting to the Assistant Director and ERP Product Owner, the Portfolio manager will support a portfolio of projects across the Business Applications team including ERP projects. This role will primarily be responsible for overseeing the backlog of projects, the project management resources assigned to the projects and the statuses of in-progress projects; assisting in removing barriers to success and reporting on the roadmap progress to leadership.

Additional Preferred Qualifications

  • Strong customer service and support, verbal and written communication, and interpersonal skills to work productively in a highly collaborative environment.
  • Experience with large scale, enterprise application implementation, integration, development, maintenance and support.
  • Passionate about identifying appropriate technology solutions which address critical business needs.
  • Experience with project management tools and methodologies such as Microsoft Project and PMBOK.
  • Experience with process improvement and technology management practices such as ITIL and Six Sigma.

Duty/Responsibility

Portfolio Management
  • Manage day-to-day portfolio activities and work with the assigned Project Managers to establish working plan for each project phase.
  • Helps end-users evaluate ROI and prioritize work and coordinates with the rest of the ET&S team to establish project milestones, tasks, time estimates and expected timeframes.
  • Facilitates project reviews and checkpoint meetings with the project team as well as stakeholders.
  • Contributes to the establishment of common practices, tools, and templates for portfolio and project management, and ensures adherence to these standards.
  • Supports project resources, removing any barriers to progress.
  • Communicates project direction, status, and risk in compelling ways, effectively reaching a wide variety of constituents, including senior leadership.
  • Ensures the project teams are entering their time sheets against projects for the ability to track estimates verses actual time for accurate capacity reporting.
  • Uses influencing and negotiation skills to collaborate across the institution to deliver high-impact and cost-effective shared solutions.
  • Supports the three tiers of Change Management – Communication, Documentation and Training for the projects in the portfolio.
  • Monitors metrics and KPIs to report portfolio performance and support decision-making at the team or organizational level.

Duty/Responsibility

Staff Management
  • Oversees the team project managers and business analysts working on all the projects within the department.
  • Participates in resource allocation for incoming projects and overall capacity planning effort for the ET&S BAAI group.
  • In collaboration with the Director, Assistant Director and other area leads, participates in recruitment, on-boarding, selection, hiring and training for the new team members.
  • Listens to team member feedback, resolving issues or conflicts and removing barriers to progress and/or success.
  • Provides team recognition and appreciation in celebrating successes and empowers team members to improve their confidence, product knowledge and communication skills.
  • Conducts proactive regular staff evaluations, through annual performance reviews and regular 1:1 coaching sessions.
  • Fosters a professional development driven working environment by encouraging training and providing mentorship for members of the team.
  • Reviewer and approver of subordinate’s time-off requests.
  • Maintains awareness of planned maintenance via the published IT change calendar; ensures that project teams update the calendar with any work related to strategic initiatives that impact existing systems (even if they’re dev/test systems).
  • Ensure team usage of provided applications such as Team Dynamics, Microsoft Teams and other provided applications and/or technology to optimize internal collaboration and to hold the team accountable to established metrics.

Duty/Responsibility

Project Management & Business Analysis
  • Ensures customer understands expected outcome of work, anticipated involvement and time frame to complete it.
  • Ensures projects are completed within budget, scope and are on schedule; engaging third party vendors and internal team members as appropriate.
  • Maintains project plans and is capable of reporting on overall project status and timeline to ET&S Management.
  • Consults and collaborates with internal and/or external stakeholders to determine more complex technical specifications from business requirements.
  • Performs systems analysis, data analysis, and support for institution applications and administration systems.
  • Gathers, analyzes, documents and validates the needs of business stakeholders.
  • Identifies and recommends process improvements that significantly reduce workloads or improve quality for their assigned area(s) of responsibility.
  • Provides functional requirement documents including inputs, processing steps and outputs to meet users’ needs to assist developers in successfully translating and achieving project goals.
  • Creates documentation and maintains project specific files and updates.
  • Documents areas where enhancements may be made or new functionality added for future follow-up.
  • Performs project activities including requirements gathering, configurations, testing, training and go live support.
