Definition of Class

This position provides first point of contact support for inbound inquiries from campus community members; faculty, staff, and students. The incumbent will effectively communicate with customers who reach out via phone or email and strive to respond and resolve general inquiries on the first call or contact. The position will require knowledge of navigating, validating, and identifying different types of employee data.

Examples of Work Performed

  • Serves as the frontline resource for the campus community and effectively communicates with customers who reach out via phone or email and strive to respond and resolve general inquiries on the first call or contact.
  • Refers complex inquires to subject matter experts within the specialized areas of Human Resources; recruiting, benefits, payroll, compensation, wellness, and employee relations.
  • Seeks to identify customer needs and serves as a significant resource for interpreting and explaining human resources policies, procedures, laws, standards, or regulations to answer inquiries from customers.
  • Effectively communicates with internal and external stakeholders. Maintains high standards of confidentiality of all employee records and information.
  • Composes standard responses based on recurring customer inquiries that can be used to respond to customers in an efficient manner.
  • Ensures timely responses to employee questions and inquiries about employee benefit programs and human resources policies.
  • Assists internal and external applicants by troubleshooting technical difficulties, verifying applicant statuses, and communicates general information about the application process.
  • Assists employees with registration and questions regarding HR training workshops.
  • Stays up to date with internal process changes in order to accurately respond to customers. Maintains compliance with federal, state, and local employment laws and regulations.
  • Monitors and reports inquiry trends.
  • Verifies and periodically audits employee data in the University's HCM system.
  • Verifies various types of employee data, including changes in pay, cost allocation, employee status, and other data points processed in HR.
  • Proactively develops constructive and cooperative working relationships with University department administration.
  • Supports the overall operation of the Human Resources department.
  • Performs similar or related duties as assigned or required.

Essential Functions

These essential functions include, but are not limited to, the following. Additional essential functions may be identified and included by the hiring department.

1. Provides transactional and policy expertise related to benefits, onboarding, payroll, and other functional areas within the Human Resources department.

2. Partners with subject-matter experts within Human Resources to ensure timely and accurate responses to questions/requests.

3. Works within the University’s HCM system to identify and validate employee data.

Minimum Education/Experience

Education:

Bachelor’s Degree from a college or university in Public Administration, Human Resource Management or a related field.

Substitution Statement: Related experience may be substituted for education, on a basis set forth and approved by the Department of Human Resources.
