Southern Methodist University (SMU) seeks a strategic and creative leader who is passionate about students and their success. The University Registrar plays an essential role in SMU’s commitment to academic excellence, professional expertise, and community responsibility.

SMU, in partnership with the national search firm Scott Healy & Associates, invites applications and nominations for the position of University Registrar. Under the leadership of the Associate Vice President for Enrollment Management, the University Registrar directs and manages all administrative, operational, and technical functions of the Office of the Registrar.

The University Registrar should be an experienced, innovative, and dynamic leader who has a developed vision for the functioning of a technologically sophisticated Registrar’s Office. The University Registrar ensures the integrity, accuracy, and security of all academic and educational records of SMU students and helps to ensure compliance with federal, state, and other regulatory agencies. The University Registrar enforces academic policies and regulations of the University and leads a professional team who coordinates functions vital to the University community such as course scheduling and registration, academic traditions and ceremonies, as well as the matriculation of new first-year, transfer, and graduate students.

The University: A highly-ranked private university with an enrollment of 11,700 students in seven degree-granting schools, SMU is a global research university with a liberal arts tradition. The main campus, known as the Hilltop and commonly named one of the most beautiful in the country, is comprised of nearly 300 acres in the beautiful residential enclave of the Park Cities, approximately five miles north of downtown Dallas. In addition to six of the University’s seven libraries, the Hilltop is also home to the George W. Bush Presidential Center and the Meadows Museum of Art, one of the largest collections of Spanish art in the world. SMU also maintains a 400-acre campus in Taos, New Mexico, where students take courses in the humanities, social sciences, business, the arts and wellness during January, May and Summer terms.

The Position: The University Registrar’s position will require both broad oversight as well as a hands-on management style, including a working knowledge of current best practices in student registration and records. The University Registrar serves as a member of the leadership team for the Division of Enrollment Services and oversees the management of the Office of the Registrar with 27 staff members. This role sets the strategic and operational direction and goals for the office, while planning, organizing, and managing resources, staff, and activities to achieve University goals. The essential functions of the position include:

  • Lead the Office in its role to support student success;

  • Communicate with key administrators and partner with SMU’s academic leadership team, including Faculty Senate, to support the effective functioning of the University;

  • Assess and analyze business processes to ensure alignment with student outcomes and other University goals;

  • Mentor and lead Registrar’s Office staff members with particular attention to professional development as well as to creating and maintaining an environment inclusive of the racial, ethnic and other personal identities of its staff;

  • Build and maintain relationships with college-based records and advising offices to promote collaborative efforts to guide students through academic policies and processes;

  • Ensure the accurate awarding of academic credit in accordance with SMU policy including for a significant number of transfer students enrolling each year;

  • Manage, maintain and safeguard the academic records of all students enrolled at the University;

  • Ensure the accuracy, confidentiality, security and integrity of those records and the SMU degree;

  • Issue official transcripts and certifications and ensure compliance with the Family Educational Rights and Privacy Act (FERPA) as well as other federal, state and SACSCOC regulations relating to enrollment, academic records, security and awarding of academic credit;

  • Oversee the effective use of systems for student information (PeopleSoft/Oracle), document imaging (ImageNow), course schedule and space scheduling systems (Ad Astra), University catalogs (Acalog) and other systems that relate to the duties of the University Registrar.

  • Develop and publish along with the Faculty Senate Calendar Committee, the University academic calendar;

  • Serve on a variety of academic committees and task forces; participate in discussions regarding implementation of and modifications to enrollment, academic and records policies and procedures;

  • Celebrate the academic accomplishments of students by overseeing the planning of inspiring academic ceremonies including Opening Convocation, Honors Convocation, Baccalaureate, two all-university Commencement ceremonies, and other SMU traditions;

Qualifications: The selected candidate should/must have the following:

  • Master's degree or higher from a regionally accredited institution (required);

  • Minimum of 7 years of experience in higher education with a work background that demonstrates increasing levels of responsibility for and a comprehensive understanding of complex academic administrative services (required);

  • Further experience or further degree is a plus;

  • Demonstrated excellent customer and student service orientation and attention to detail (required);

  • Strong verbal, written, and communication skills (required);

  • Record of successful leadership in the use and understanding of technology solutions including student information systems, on-line catalog management systems, classroom scheduling and optimization systems, degree audit systems, reporting to appropriate agencies, and use of query tools for the extracting and reporting of student information (required);

  • Extensive knowledge and experience with FERPA and other related federal regulations relating to Higher Education;

  • Exceptional management, problem solving, administrative, analytical, interpersonal, communication, and organizational skills;

  • Ability to organize and analyze data to support decision making at the department, division, and university levels;

  • Adaptability, strong critical judgment, and a commitment to diversity and teamwork;

  • Ability to work harmoniously and collaboratively with students, faculty, staff, administrators, and other constituents.
