The Executive Assistant to the Dean provides administrative support to the Dean of the Graduate School of Education and Psychology efficiently and effectively with the utmost attention to detail, accuracy, timeliness, confidentiality, and discretion.
Direct and manage the functions and responsibilities of the Dean's Office including confidential correspondence, event management, and planning. Manage the Dean's communication flow, schedule, and travel.
Provide general oversight to the Dean's Office budget by reviewing expenses and completing appropriate reports.
Manage faculty contracting reports/documents. Maintain and ensure the confidential and accurate handling and storage of correspondence, contracts, performance evaluations, and other relevant records and files on issues of IM.
Maintain a flexible and responsive attitude and approach to completing multiple tasks including timely processing of documents, PowerPoint presentations and Excel spreadsheets.
Plan and monitor special projects for the Dean, proactively researching and determining available resource requirements and utilizing appropriate technologies/methodologies to help administratively support project completion.
Shift project focus while maintaining priorities as needed; recognizing and adopt to shifting priorities.
Maintain current and future accreditation information/reports for both the Education Division and the Psychology Division while researching and prepaying documents/studies as required.
Executive friendrasing/fundraising and other special events as determined by the Dean.
Perform other duties as assigned.

Skills and Qualifications
Required: Bachelor's degree; four or more years of experience in public relations/office management or field with extensive research and writing responsibilities required, preferably in a higher education setting; excellent interpersonal communication skills; ability to to represent the Dean to University and external persons; technology savvy and innovative; strong command of word processing, desktop publishing; ability to adapt and changing priorities; ability to work independently and take initiative; ability to work well in a team-oriented environment; problem solving and sound judgement skills; ability to prioritize tasks; ability to exercise discretion with confidential matters; proficient in MS Office Suite: Word (Intermediate/Advanced), Excel (Intermediate), Outlook (Intermediate/Advanced), PowerPoint (Intermediate); ability to navigate the internet for research purposes
Preferred: Advanced degree; events planning/fundraising experience; command of professional protocol; ability to develop and sustain productive, mutually respectful, and collaborative interpersonal working relationships with administrators, faculty, staff, students, and the general public; oral communication skills in interfacing effectively and diplomatically, both in person and over the telephone; clear communication; strong professional presence; knowledge of the University's policies and procedures; ability to work effectively with coworkers, customers, and others by sharing ideas in a constructive and positive manner, actively supporting the University mission and the Dean's vision; knowledge of instructional design, Chrome, Google Glass, and other technology innovations; Spanish speaking or possess conversational proficiency in a language other then English, etc.
